Monitor and Re-trigger Workflows
When a form is submitted, Team Forms can generate a PDF, send email notifications, and trigger connected workflows such as Microsoft Power Automate flows. You can review these actions for one submission or run selected actions across multiple submissions.
Monitor a submission
Section titled “Monitor a submission”- Open the form’s … menu and select View Submissions.
- Find the submission and click its status icon in the Workflows column. You can also right-click the row and select Workflow runs.
- Review PDF generation, email notifications, and connected workflows. Expand an entry to inspect its history and available error details.
A successful connected-workflow request means Team Forms sent the trigger successfully. Check the flow’s run history in Power Automate to confirm that its later steps completed.
Re-run actions for one submission
Section titled “Re-run actions for one submission”Open the submission’s Workflow runs dialog and use the re-run control beside the email or connected workflow, or regenerate its PDF. Use Re-run all failed to retry failed actions for that submission. Resolve the underlying configuration or connection problem before retrying.
The right-click Re-run workflows option appears when multiple rows are selected. Use Workflow runs for individual actions on a single row.
Run workflows for multiple submissions
Section titled “Run workflows for multiple submissions”- Open View Submissions and set the date range and filters for the responses you want to process.
- Select the rows using their checkboxes. To select a range, select one checkbox, then hold Shift and select another. Use the header checkbox to select all currently loaded matching rows. If the table indicates that the selection is incomplete, use Load and select all to include the remaining matching submissions in the selected date range.
- Select Re-run workflows from the toolbar or right-click the selected rows and choose Re-run workflows.
- In the Run workflows dialog, choose a Run for option. All selected submissions is the default.
- Check the actions you want to run: PDF generation, Email notification, and any connected workflows. All actions start unchecked. Select all and Clear selection apply to this action list.
- If a trigger choice appears beside a connected workflow, select Submission or Resubmission as described below.
- Select Re-run failed, Run workflow, or Run workflows, depending on your choices. Keep the page open until processing finishes, then review the completion summary.
Only the checked actions are included. For example, selecting one connected workflow leaves the email notification action unchecked, so the batch does not resend those notifications.
Workflows only run for submitted responses. If the table is showing drafts, any drafts in the selection are skipped.
Choose which submissions need each action
Section titled “Choose which submissions need each action”Team Forms checks each selected action separately for each selected submission.
| Run for | Email notifications and connected workflows | PDF generation |
|---|---|---|
| All selected submissions | Run each checked action once per submission, including actions that previously succeeded. | Generate and save a fresh PDF for every selected submission. |
| Failed workflows | Retry actions whose latest recorded attempt failed. An older failure followed by a success is not retried. Actions with no recorded attempt are skipped. | Generate and save a PDF only when the saved PDF is missing or invalid. |
| Workflows not run yet | Run actions with no recorded attempt for that submission. Existing attempts, including failed or skipped attempts, are excluded. | Generate and save a PDF only when the saved PDF is missing or invalid. |
PDF generation uses the saved document’s availability rather than a separate run history. To replace existing valid PDFs, choose All selected submissions and check PDF generation.
All selected submissions can resend emails or repeat actions in connected services. Select only the actions you intend to repeat.
Choose the submission or resubmission trigger
Section titled “Choose the submission or resubmission trigger”A connected workflow appears once in the action list, even when it supports both triggers.
- Failed workflows repeats the trigger used by the latest failed attempt for each submission.
- All selected submissions repeats the most recent trigger for each submission. With no history, it uses Submission when available, otherwise Resubmission.
- Workflows not run yet lets you choose Submission or Resubmission when the checked workflow supports both. Submission is selected initially. If only one trigger is connected, Team Forms uses that trigger automatically.
PDF generation and email notifications do not require a trigger choice. If a previous trigger is no longer connected, the batch reports that action as needing attention.
Run a newly connected workflow on existing submissions
Section titled “Run a newly connected workflow on existing submissions”After connecting the workflow to the published form:
- Select the existing submissions you want it to process, including ones that may already have triggered it.
- Open Re-run workflows and choose Workflows not run yet.
- Check only the newly connected workflow and choose its trigger if both are available.
- Run the batch.
Team Forms checks that workflow’s recorded history for every selected submission and skips ones that already have an attempt. You do not need to identify those rows manually. If an attempt failed, retry it using Failed workflows instead.
The history check applies to the workflow across both submission and resubmission triggers. Adding a resubmission trigger to a workflow that has already run does not make that workflow count as not run yet.
Review the results
Section titled “Review the results”The summary reports completed submissions, skipped submissions, and actions that need attention. A submission may have some successful actions even when another action fails. Open its Workflow runs dialog to review the latest details.
Email notifications can be skipped when they are disabled or have no recipients. When PDF regeneration is selected and needed, it runs before email and connected workflows so they can use the new PDF. If regeneration fails, actions that require that PDF also fail; other selected workflows can still run.
